RENTAL AGREEMENT
Hot Studios New York is a natural light photo studio located at 39 W 14th Street, New York, NY 10011. The studio is available for hourly, half-day, full-day, and small event rentals. The minimum booking period is 1 hour.

BOOKING REQUIREMENTS
renters must review and agree to all terms and policies outlined in this agreement prior to booking. a booking is not confirmed until payment is received in full and the renter has agreed to the terms of service.

hot studios new york reserves the right to deny or cancel bookings that do not comply with these terms.

PAYMENT
full payment is required to confirm the requested booking date and time. payment must be made through our website, hotstudiosnewyork.com.

hot studios new york does not accept checks, cash, or in-person credit/debit card payments at the studio. all payments must be completed online prior to arrival.

Renter must remain inside Suite 406 for the duration of their rental. Renter or anyone in their party is not permitted to enter the private offices of Sauce Media Group or any other suites within the building.

RESCHEDULING & CANCELLATIONS
cancellations made more than 48 hours prior to the scheduled booking will receive a full refund. cancellations made within 48 hours of the booking will receive a partial refund, with 50% retained as a cancellation fee. day-of cancellations are non-refundable.

requests to reschedule hourly rentals must be submitted at least 48 hours prior to the original booking time. approved reschedules must be rebooked within one (1) week of the original booking date to avoid forfeiture. if a new date is not secured within one week, the full rental amount will be retained as a cancellation fee. rescheduling credits are issued at the discretion of hot studios new york and tracked internally.

day-of reschedules will incur a 50% rescheduling fee and are subject to availability. rescheduling is offered on a first-come, first-served basis, and hot studios new york cannot guarantee specific dates or times.

full-day and half-day rentals
full-day and half-day bookings must be canceled at least one (1) week in advance to receive a full refund, or at least four (4) days in advance to receive a 50% refund. requests to reschedule full-day or half-day rentals must be submitted no less than one (1) week prior to the scheduled booking to avoid cancellation fees.

PARKING
hot studios new york does not provide parking and is not responsible for parking availability. public parking and street parking may be available nearby. hot studios new york is not responsible for theft, damage, or loss related to vehicles parked in the area. renters are advised not to leave valuables in their vehicles.

LIGHTING
hot studios new york is a natural light photography studio. lighting conditions vary depending on weather, time of day, and season. renters acknowledge that lighting is not guaranteed and that no refunds or credits will be issued due to dissatisfaction with lighting caused by natural or environmental conditions.

SCHEDULE TIME
renters must arrive on time for their scheduled booking. bookings may be scheduled immediately before or after your rental, and access outside of your reserved time cannot be guaranteed.

if the renter or any member of their party arrives late — without fault of hot studios new york — no refund or extension will be issued. additional time is subject to availability and billed accordingly.

arriving more than five (5) minutes early or remaining in the studio more than five (5) minutes after the scheduled end time will be considered overtime and billed at the applicable hourly rate, with a one-hour minimum.

CYC WALL
(the backdroppe)
our cyc wall is 12 ft x 13 ft and is designed for photo and video production use only. to maintain the integrity of the wall, please do not step on, stand on, or place equipment directly on the curve or base of the cyc. shoes, props, furniture, carts, ladders, and heavy equipment should never be placed on the curved portion of the wall.

renters are expected to treat the cyc wall with care and leave it in the condition it was found. while we perform regular maintenance, any scuffs, marks, stains, or damage beyond normal wear may result in additional cleaning, repainting, or repair fees.

if you require the cyc wall to be completely white with a fresh coat of paint prior to your production, please email hello@hotstudiosnewyork.com in advance to request this service for an additional fee. same-day paint requests cannot be guaranteed.

PAPER BACKDROP RENTAL
renters are responsible for the proper setup, use, and takedown of any paper backdrop rolls rented from hot studios new york. paper backdrops must be handled with care to avoid tearing, excessive marking, or damage to the stand, floor, or surrounding areas.

all setup, use, and takedown of paper backdrops — as well as any personal equipment or props — must be completed within the booked rental time. if additional time is needed, renters must check in with a hot studios new york representative at least 15 minutes prior to the end of the rental. if the studio is available, additional time may be approved and billed accordingly. unapproved overtime may result in additional fees.

any excessive damage to paper backdrops beyond normal wear may result in additional charges.

HOT STUDIOS NEW YORK REPRESENTATIVES
hot studios new york representatives may be present in the studio before, during, or after your rental to assist with access, operations, or general oversight of the space.

RENTAL EXPECTATIONS
music + noise
hot studios new york is located in a shared building. music is permitted at a reasonable, low-to-moderate volume. renters are responsible for keeping noise levels respectful at all times.

furniture + studio items
if moving furniture, mirrors, or other studio items, renters must use at least two people and exercise extreme care. items should never be dragged across the floor. many of our furniture pieces are vintage or custom and require careful handling. any damage resulting from improper handling may result in repair or replacement charges.

prohibited activities
no drinking, smoking, vaping, or drug use is permitted anywhere within hot studios new york. violation of this policy will result in immediate removal from the studio without refund and may impact future booking eligibility.

equipment + props
renters may bring their own equipment or props. however, the use of damaging materials — including nails, screws, tacks, staples, or adhesives that may damage walls, floors, or furniture — is strictly prohibited. approved wall-safe materials include painter’s tape, fun tak, and command strips only. any damage caused by unapproved materials will be billed accordingly.

conduct + safety
hot studios new york is a safe, inclusive space for creatives. we maintain a zero-tolerance policy for inappropriate, aggressive, or disrespectful behavior toward hot studios new york representatives or other renters, including verbal or physical harassment or assault. violations will result in immediate removal from the premises without refund and may result in a permanent booking ban.

STUDIO FURNITURE
we strive to keep hot studios new york feeling fresh and thoughtfully curated with rotating props and furniture. furniture and prop availability is subject to change and not guaranteed unless confirmed in advance.

CLEANING
please leave the studio exactly as you found it. all cleaning, trash removal, and reset must be completed within your booked time slot.

if the space is not returned to its original condition, a $200 cleaning fee will be invoiced. this includes, but is not limited to, excessive trash, spills, odors, or the need for additional cleaning beyond our standard reset.

any items left behind will incur a $25 storage and handling fee. renters have 48 hours to retrieve forgotten items. after 48 hours, unclaimed items will be considered abandoned and may be donated or disposed of at our discretion.

THEFT & DAMAGES
hot studios new york is not responsible for theft, loss, injury, or damage to personal property belonging to the renter or their party. renters are solely responsible for securing their belongings and equipment at all times.

any damage to the studio, including but not limited to walls, floors, cyc wall, furniture, plants, props, or rental equipment, is the financial responsibility of the renter and will be billed accordingly. inventory is taken after each booking; missing, damaged, or broken items will be charged at full replacement or repair cost, including labor if applicable.

hot studios new york reserves the right to charge the card on file or invoice the renter for damages discovered after the rental period.

VIDEOGRAPHERS
hot studios new york is located in a shared building with other businesses. as such, background noise may occur, including but not limited to hallway traffic, building systems, or street noise. renters acknowledge that hot studios new york cannot control external noise sources.

while efforts have been made to reduce echo and improve sound quality, the studio is not a soundproof facility. renters accept the space as-is, and refunds or credits will not be issued due to dissatisfaction with audio quality, background noise, or acoustics.

EVENT BOOKING REQUIREMENTS

all events at hot studios new york are by inquiry only and subject to approval. submitting an inquiry does not guarantee availability or confirmation. events are not considered booked until formally approved by the hot studios team and paid in full.

approved event bookings may require additional documentation, including but not limited to a detailed event outline, run of show, guest count confirmation, certificate of insurance, and/or security staffing, depending on the nature of the event.

hot studios new york reserves the right to deny or cancel event bookings that do not align with the intended use of the space, building guidelines, or community standards.

event payment fees

full payment is required to confirm an approved event booking. payment must be made through hotstudiosnewyork.com or via invoice, as directed by hot studios new york.

additional fees may apply for events, including but not limited to extended hours, additional staffing, cleaning, security, repairs, or damages. any costs incurred as a result of event use will be invoiced to the renter and must be paid promptly.

failure to comply with approved event use, capacity limits, or policies may result in immediate termination of the event without refund and may impact future booking eligibility.

RENTER PARTY
the renter is responsible for ensuring that all members of their party, including guests, crew, talent, and vendors, are informed of and comply with the rules, policies, and expectations outlined in this agreement.

any violations of this agreement by members of the renter’s party will be treated as violations by the renter. renters assume full responsibility for the conduct, actions, and damages caused by their party during the rental period.
